My Home Portal generally operates as a data processor on behalf of housing providers. Core tenancy records remain within the housing provider’s management system, under the provider’s control.

Core tenancy records (for example, balances, repairs, tenancy details and case information) are held and managed within the housing provider’s management system. My Home Portal does not replicate or warehouse tenancy records.

2.2 Service-level data

To operate securely, My Home Portal retains essential service-level data required to authenticate users, connect them to the correct housing provider environment, maintain security, and operate the service (for example account identifiers and environment linkage).

2.3 Push notifications

If you enable push notifications, we process device and notification tokens to deliver relevant updates. You can control notifications via your device settings.

2.4 Analytics and monitoring

We use the following services to help us understand product usage and improve reliability:

  • PostHog (EU) for product analytics and usage insights
  • Sentry for error monitoring and performance diagnostics

These tools are used to improve app performance and stability and are configured to minimise data collection where possible.

Service-level data may be processed by trusted service providers (sub-processors) strictly to provide hosting, analytics, and monitoring necessary to operate My Home Portal (including PostHog and Sentry).

Core tenancy records are processed within the housing provider’s management system under their control.

We implement appropriate technical and organisational measures to protect service-level data. However, no method of transmission over the internet is completely secure, and we cannot guarantee absolute security.

For requests relating to core tenancy data (including access, correction, or deletion), please contact your housing provider as the data controller. My Home Portal operates as a data processor and supports housing providers in responding to data subject requests where applicable.

7. Retention of Data

We retain service-level data only for as long as necessary to provide the service, maintain security, and meet operational requirements. Retention of core tenancy records is governed by your housing provider within their management system.
